An HVAC estimate follow-up should use the correct job, current quote and an appropriate next step. If you are evaluating Sameday AI, start with that complete journey: a customer receives a follow-up, asks a question and either books, requests a person or declines further contact.

What to investigate in the published workflow
The official Sameday site describes an AI front office for home services, with phone answering, scheduling, campaigns and CRM updates. It includes an estimate-follow-up example. Those descriptions help identify a relevant use case, but you should verify the particular trade software, plan and configuration needed for your business.
Keep estimate chasing separate from urgent service requests and routine maintenance reminders. The contact list, approved information and desired outcome differ. Start a pilot with one clearly defined category instead of combining every outstanding job into a single campaign.
Prepare the job information before the script
Use a test estimate with a job reference, site address, version date, approved amount, validity period and responsible salesperson. Decide where the agent gets each field and what happens if the quote changes after the follow-up list is prepared.
The agent should not invent discounts, promise financing or negotiate installation scope beyond the authority you have supplied. Record which questions require a person, such as a technical suitability question or a request to change equipment. Build a handoff that preserves the exact question for that person.
Test different customer responses
| Response | Outcome to inspect |
|---|---|
| “I want to go ahead” | Correct job reference and an agreed sales or scheduling next step |
| “That is not the latest quote” | A visible request for review, without repeating an obsolete amount |
| “Can you fit a different unit?” | Technical question assigned to the responsible person |
| “We already booked someone else” | Appropriate outcome and no repeated sales task for the same estimate |
| “Please stop contacting me” | The request recorded and excluded from the next applicable test campaign |
Use consenting staff test contacts and an approved environment. Review the campaign eligibility and contact rules for the market you operate in before contacting real customers. A product demonstration does not establish that a particular list can lawfully be called.
Distinguish a sales appointment from installation capacity
Agree exactly what the agent may book. A survey, a salesperson's callback and an installation date are different commitments. Available calendar time does not necessarily mean the right technician, equipment, travel window and installation capacity are available.
Ask to see the dispatch or scheduling record after the test. If the agent can only request installation dates for staff approval, the customer should hear that distinction. Test a fully booked day and a customer changing the address so the workflow cannot rely only on a simple happy path.
Connect replies to the right open job
An existing customer can have several properties or outstanding estimates. Test the same caller with two job references and check that the reply updates the intended record. Ask how an unanswered call, voicemail, customer reply and staff callback are combined into a readable history.
Demonstrate what happens if a staff member closes the job while a follow-up is queued. The next attempt should follow the eligibility rules agreed for the pilot. Assign responsibility for reviewing failed updates and for stopping activity when records are uncertain.
Measure accepted work and staff effort separately
Track eligible estimates contacted, conversations completed, requests for staff, appointments and accepted jobs. Record manual correction time and customer complaints. Compare similar estimate ages and job types rather than crediting every sale after a call to the campaign.
Request a complete quote covering setup, usage, connections and ongoing changes. To explore another approach, review Sysevo for trades, voice agents and CRM. Bring an anonymised estimate journey to a demonstration and ask to inspect the job record and staff handoff.
Questions buyers ask
Should an estimate follow-up agent promise an installation date?
Only where the business has authorised that action and the required capacity has been checked. Otherwise clearly capture a request for staff confirmation.
What information should an estimate test include?
Use a fictional job reference, current quote version, approved scope and owner. Test changed quotes and customers with more than one open job.
Does every accepted job after a follow-up count as additional sales?
No. Some customers would have accepted anyway. Compare suitable baseline groups and report the limits of attribution alongside the results.
