When evaluating Zanus AI CRM, distinguish the vendor's customer records from integration with the CRM your team already uses. The useful test is whether a call creates or updates the right contact, assigns the next action and leaves staff enough information to continue the conversation.

Start with the published CRM description
The official Zanus AI CRM page describes customer records populated from conversations, lead qualification and pipeline activity. That description is a starting point for evaluation. It does not by itself establish how your particular external CRM, custom fields or existing automations will behave.
Decide whether you want to use a new CRM, connect an existing one or simply receive call summaries. These are different projects. A summary email can be useful without being a CRM integration, and an integration can create a contact without correctly updating a sales opportunity.
Map one enquiry from the phone to the pipeline
Choose a typical enquiry, such as a customer asking for an installation estimate. Write down the fields the sales representative needs to act: contact details, service requested, location, urgency, assigned owner, requested callback and enquiry source. Keep the caller's stated requirements separate from inferred qualification.
| Information | Question for the demonstration |
|---|---|
| Contact identity | Which record is updated when the phone number already exists? |
| Opportunity | Does a new enquiry create a new deal or update an existing one? |
| Owner | Which person or queue receives the follow-up? |
| Callback | Is the requested time a structured task or buried in a note? |
| Evidence | Can staff find the relevant conversation and distinguish it from later edits? |
Test existing contacts and ambiguous matches
Call twice with the same fictional identity, then try a shared business number with a different contact name. Inspect whether the system creates duplicates, merges different people or preserves the distinction. Have someone correct a field and check what happens when the next conversation contains older information.
Agree which system is authoritative for each field. Without that decision, two connected systems can repeatedly overwrite one another. Test an existing customer asking about a second service, since a single person can have several open enquiries with different owners and next steps.
Make failure recovery part of the acceptance test
Ask the implementation team to demonstrate a controlled connection failure in a test environment. Find out where the unsent update appears, who is alerted and how it is retried. Replaying an event should not create a second deal or schedule the same callback twice.
Inspect the staff view after recovery. The next action should be visible to the responsible person, and the record should show enough context to explain why it exists. A technical success message alone does not prove that a representative received a usable lead.
Price the handoff, including the maintenance work
Ask for the required plan, connection method, field mapping and support responsibility in writing. Review the current pricing source alongside any implementation quote. Include third-party automation subscriptions and time spent maintaining mappings when your pipeline changes.
During the pilot, count leads that arrive complete and correctly assigned. Also record duplicates, missing fields, failed updates and manual corrections. These measures reveal whether the integration saves work or simply moves it from answering the phone to repairing records.
Compare the wider workflow
Use the Zanus and Sysevo comparison for the broader platform decision. For this specific handoff, inspect Sysevo CRM, voice agents and your required integrations. Bring your field map to a demonstration and ask to see the resulting contact, deal and task.
Questions buyers ask
Does an AI CRM automatically connect to our existing CRM?
No connection should be assumed from the category name. Confirm the exact external product, connection method, supported fields and required plan with the vendor.
What is the difference between a call summary and a lead handoff?
A summary describes the conversation. A completed handoff also puts the right record, owner and next action where staff work.
What should happen when an update fails?
Agree a visible failure queue, an accountable owner and a recovery process. Test that retries preserve records without duplicating deals or tasks.
